Software House Outsourcing Checklist

How to Choose a Software Development Company: 8 Checks Before Signing

3 min read อ่านฉบับภาษาไทย

Choosing the wrong software development company costs more than the fee — it costs 6–12 months of your business’s time and the opportunity that went with it. This checklist covers 8 things to verify before signing, drawn from years of rescuing stalled projects.

1. Look for Work “Similar” to Yours

A beautiful portfolio is not the answer — ask: “Have you built something like what I need?” A retailer wanting a warehouse system should find a team that has built inventory systems, not the studio with the coolest game demos.

2. Who Actually Writes the Code?

Ask clearly: in-house team or subcontracted? Neither is wrong, but you should know who does the work, who you talk to, and whose desk problems land on. A team that communicates confusingly before the sale communicates worse after it.

3. Who Owns the Source Code?

This is the most overlooked clause. A good contract states that source code and IP transfer to the client 100% upon final payment — otherwise one day you may find you cannot modify your own system and must pay the original vendor forever (vendor lock-in).

4. Pricing Structure and Payment Terms

  • A good quote breaks into milestones tied to delivered work, not a fixed 50% prepayment on day one
  • Beware of unusually cheap quotes — they usually return as expensive mid-project change requests
  • Compare 3+ vendors, but compare equal scopes, not just numbers

5. Process and Reporting

Ask how often progress is reported, what project tools they use (Jira, Trello, Linear), and how often you will “see real work.” Professional teams demo every sprint or at least every 1–2 weeks.

6. Warranty and After-sales Terms

The system ships, a bug appears — who is responsible? A fair standard is 3–6 months of free bug fixing after delivery, plus a clearly priced maintenance package to continue with.

7. Security Capability

Especially for systems holding customer or financial data — ask about encryption standards, user permission management, and pre-launch security testing. A team that cannot answer = high risk.

8. Client References

Ask to speak with 1–2 past clients on similar projects. The golden question: “If you started over, would you choose this team again?” — the honest answer beats any website testimonial.

Red Flags — Walk Away

  • They refuse to let you talk to the developers at all
  • The quote has no detailed scope of work
  • No post-delivery warranty terms
  • “Yes, we can do everything” without asking about your business
  • Pressure to decide within a day

Five Questions to Ask Every Vendor

  1. How many projects like mine has this team delivered?
  2. When does the source code and IP transfer to me?
  3. How and how often is progress reported?
  4. What happens contractually if the project is delayed on your side?
  5. How many months of post-delivery bug warranty do I get?
